Strathcona Summit Solutions Limited (“we,” “us,” or “our”) manages vacation rentals at Mount Washington, British Columbia. This policy explains how we handle personal information when you visit our website, contact us, make a reservation, or stay at a property we manage.

Information we collect

We collect information needed to respond to inquiries, arrange reservations, and provide guest services. This includes names, email addresses, phone numbers, reservation dates, guest numbers, communications, signed rental agreements, and damage waivers. We also receive payment status and transaction information associated with bookings.

Please provide only the personal information reasonably needed for your inquiry or stay.

How we use information

We use personal information to:

• Respond to questions and communicate about your stay.

• Process reservations and payments.

• Coordinate property preparation and guest services.

• Administer rental agreements, damage waivers, and any related claims.

• Maintain business records, prevent fraud, and meet legal obligations.

We seek consent where required by applicable law. You may contact us about withdrawing consent, subject to legal or contractual restrictions. Withdrawing information needed to manage a reservation may affect our ability to provide services.

Payments and service providers

Payments are processed through Stripe using our Hostaway booking platform. Please enter payment card details through the designated payment form rather than sending them by email.

We use service providers to manage reservations, payments, property operations, and guest information. These include Hostaway, Stripe, Breezeway, and Touch Stay.

The booking information we share with Breezeway and Touch Stay is limited to the guest’s first name, stay dates, and number of occupants. We do not routinely share guest personal information with property owners.

Information may also be disclosed where required or permitted by law, including when necessary to address a legal claim.

Our providers may process or store information outside British Columbia or Canada, where it may be subject to local laws.

Promotional emails

Where we have the consent required by law, we may email you about our properties, offers, and company news. You can unsubscribe from promotional emails at any time. Reservation and service messages may still be sent when needed for your booking.

Website technology

Our website and booking platform may use cookies and similar technologies to support their operation. You can manage cookies through your browser settings, although disabling them may affect website functionality.

Protection and retention

We use reasonable safeguards appropriate to the sensitivity of personal information and limit access to those who need it for their work.

We retain information for as long as reasonably needed to provide services, meet legal and recordkeeping requirements, and resolve disputes. Information is then securely deleted or anonymized when no longer required.

Subject to applicable law, you may request access to your personal information, ask for corrections, or raise a privacy concern. We may need to verify your identity before responding.
